Assistant Event Coordinator​

​

If you are a New Hospitality Graduate, looking to gain experience in the hospitality industry for school hours / internship credit or looking to kick-start your career then this position is for you!

 

We are in search of a passionate, detail oriented and dedicated assistant event coordinator who is excited to get their foot in the door and grow with our company!

​

This position will have a hybrid flexible schedule and allow the candidate to work from home during the week, come in to pack for events in our Natick location 1-2 times a week and required to be onsite at events on some weekdays / weekends. You are not required to be at every event.

​

This will be a part-time/full-time position depending on the time of year. You can expect to work 25 - 30 hours in the off season (January - March) and 30 - 40+ average hours per week in our busier season with possible overtime (April - Med December). Event assistance is required on nights and weekends at weddings or events which will include additional tips.

​

Flexible schedule however for the most part this position is M - F 9am - 4pm daily (can be adjusted on weeks we have events on the weekends and flexible around class schedules)

​

This job encompasses learning the event industry from the ground up and can be made into a management in training program if the candidate desires to grow with our company / paid internship credits if needed. Please share your goals so we can help support your growth in the hospitality industry:

Daily responsibility includes but not limited to:

​

Event planning assistant:

  • Creating / updating client catering proposals / BEO (banquet event orders)

  • Client communication via phone and emails

  • Replying / following up on leads

  • Creating client invoices

  • Creating staffing shifts

  • Creating / managing rental orders

  • Creating / updating liquor orders

  • Vendor communication throughout the planning process

  • Event timeline creation / management

  • Creating event diagrams

  • Attending virtual weekly zoom BEO meetings

  • Social media management - facebook and instagram

  • Joining private tastings for clients in our Natick tasting room

  • Attending hospitality industry networking events

  • Growing with our company to become a sales manager

 

On-site event assistant management:

  • Packing for events in our Natick kitchen location

  • Site visits with clients

  • Directing catering staff for the set-up

  • Coordinating with vendor team

  • Communication with wedding or event clients

  • Event decor set-up and break-down

  • Starting off as a catering staff at events and working your way up as you gain knowledge of how to run an event to being promoted to an event manager / day-of wedding planner.\

 

Vehicle / driving required:

Willing to drive 30 min -1.5 hours, 1-2 times a week in our busy season (March - October) to events in the Boston Area. Transportation is a must with a reliable vehicle

Compensation

Pay is commensurate with experience, we know students need to start somewhere to get their foot in the door, no experience necessary and willing to train the right candidate. Position starts at $15/ hr - $20 / hr + tips when working onsite at events.

Tips range from $150 - $300 / event.
